The right to process your personal data

SIA AKZ, hereinafter referred to as – AKZ, shall only perform the processing of your personal data, to which you have voluntary agreed or which is performed on the basis of contractual relations, or regulatory enactments that are in force in the Republic of Latvia and binding, or that is performed in order to protect the lawful interests of AKZ.

What kind of personal data do we process

Personal data shall mean any information related to you, enabling you to be directly or indirectly identified.

The exact personal data of yours that we process is dependent on what kind of legal relationship we have with you (employment, cooperation, supplier etc.):

GENERAL INFORMATION

  • Information on the person

    Name, surname, birth data, citizenship, address of the place of residence, e-mail, phone number.

  • Identification numbers allocated by state authorities

    Personal identity number, passport or ID card number, number of a driver’s licence or any other licence or certificate.

  • Financial information

    Bank account number.

OTHER INFORMATION

  • Video surveillance and use of electronic keys In order to ensure:
    1. security of material assets, movable/immovable property of SIA AKZ;
    2. Prevention and identification of unauthorised activities;
    3. Assessment of accidents and results of property damage;
    4. Assessment of accidents and results of property damage;
    5. Provision of vitally important interests of a person, including life and health protection and labour safety;
    6. Provision of work order. Supervision of the performance of work duties;
    7. Determination of the control/quality of the production process of SIA AKZ. For the assessment of complaints of clients,

    we perform video surveillance of the territory and office building of the Aizkraukle sawmill, as well as register information on the access of persons to the territory and building.

  • Information acquired online

    Information, which is acquired by using cookies, information about your IP address and the browser and website used to reach our website.

    We shall process the listed information only if it is necessary for a particular case. Besides, this list cannot be considered as complete, because depending on the situation we may also have the need to process other kinds of personal data.

  • For what purpose do we use this information

    In order to fulfil the requirements set by law and to ensure the daily operation of the company we process personal data for the following purposes:

    • Management of relations of employees/clients (cooperation partners);
    • In cases determined by law, reporting to state authorities;
    • Safety (video surveillance and use of electronic keys).
  • What is the legal basis for personal data processing?

    The processing is lawful only to such extent and only if at least one of the following substantiations is applicable:

    • Data processing is necessary in order to conclude or fulfil any of the contracts.
    • You as a data subject have given your consent for personal data processing. For example, personal data are delivered on the basis of your consent to the insurance company, in order to receive a health insurance policy.
    • Personal data processing is necessary in order to implement our legal (legitimate) interests or lawful (legitimate) interests of third persons. For example, we process personal data on this basis, in order to prevent entry of unauthorised persons to the territory and office building of the Aizkraukle sawmill, making ourself secure against liability for the behaviour of persons in the territory.
    • Personal data processing is required in order to perform the legal duty subject to us as a controller. For example, we have an obligation to provide your personal data pursuant to the request of the State Revenue Service or law enforcement authorities.
  • How long do we store your personal data?

    We store personal data only as long as it is necessary, unless laws provide or permit a longer period of storage. AKZ tries to not store your personal data longer than it is reasonably necessary, taking into account the purpose, for which the data were acquired, for example:

    • the law determines different time periods for the storage of different documents, such as the Law On Accounting or Archive Law;
    • other circumstances, for example, if we have contractual relations, then we will store your personal data for the whole period of validity of such contracts.

    In case of need AKZ may store your personal data after you have ceased to be a client, cooperation partner, contact person thereof etc. Such action may be required if it is determined by the regulatory enactments that are in force in the Republic of Latvia and are binding to us, and in order to ensure the legal and legitimate interests of AKZ, including, but not limited to, if any disagreement has arisen between you and AKZ.

    In any case, we erase useless or inappropriate personal data or make it anonymous. If the storage of your personal data is not mandatory, you may require us to delete it before the expiry of the planned period of storage.

  • Do we disclose your personal data to others?

    In accordance with the law, we are not permitted to disclose personal data. Access to your personal data will only be available to those employees who need it for the performance of work duties.

    However, in cases determined in law or in accordance with the consent provided by you, we may disclose your personal data to other persons. Most frequently they are:

    • Insurance companies, in order to prepare the insurance policy;
    • state authorities and other public persons or third persons, if it is prescribed by law or necessary for the fulfilment of the contract.
  • Automated decision making and profiling

    We do not perform automated decision making or profiling

  • International transfer of personal data

    Your personal data are stored within the territory of the European Union and European Economic Area.

  • Personal data safety

    We always perform the relevant technical, physical, legal and organisational measures, which are necessary in accordance with the laws of the Republic of Latvia and the applicable legal acts of the European Union, in order to ensure confidentiality and protection of your personal data.

  • Access to your information and rectification and erasure thereof

    We want to be sure that your personal data stored by us are precise and up to date. Therefore, in case if any changes to your personal data, please, contact us and submit to us the up to date data, in order that we could achieve the relevant purposes of personal data processing.

    In accordance with the terms of the General Data Protection Regulation, you are entitled to access your personal data in our possession, request their correction, deletion, limitation of access, object to the processing of your data, as well as the right to data portability in the events and pursuant to the procedure prescribed in the General Data Protection Regulation.

    If we receive a request from you, AKZ will reply to it within the time periods determined in the regulatory enactments (usually not later than within 20 working days if it is not a special case requiring a longer period of time to prepare a reply) and if it will be possible, we shall rectify or erase your personal data.

     

    You may acquire information on your personal data available to us or implement any other rights that you hold as a data subject, by sending an application to us via mail to the legal address or e-mail.

     

    Upon the receipt of your application, we shall evaluate its content and the possibility of identifying you, and depending on the relevant situation we shall reserve the right to ask you for additional identification to ensure the safety of your data and disclosure to the relevant person.

    Please, take into account that in cases determined in the applicable legal acts, we shall not provide you with information on your personal data and it shall not be possible for you to request us to rectify or erase it. For example, such restrictions are determined for information in relation to an initiated criminal proceeding.

  • Complaints on issues related to personal data processing

    If you have any questions or objections in respect of our performed processing of your personal data, we ask you to contact us.

    If you still believe that we have not been able to mutually solve the problem and you still consider that we have violated your rights to personal data protection, you may file a complaint with the Data State Inspectorate.
